Top 10 Skills Required to be a Great Secretary/PA

All companies require 5
star administrative/secretarial support to ensure the smooth running of their businesses.  Below is a list of what we feel are the top 10 key skills for an efficient/effective secretary/PA:IMG_8908

1. Proven organisational skills to adapt to changing environments – a fast paced, growing business requires a secretary/PA to think on their feet and always be one step ahead

2. Experience of working for Director level or above – excellent interpersonal skills and the ability to communicate at all levels

3. Excellent PC skills including Word, Excel and Powerpoint – this is a must in the present day of evolving and innovative technology

4. High standard of copying and audio typing – a touch typist with a reasonable speed along with excellent accuracy when transcribing or copying documents

5. Diary management – accuracy is key when booking/arranging meetings and appointments

6. Minute taking – short-hand is desirable along with an in-depth knowledge of the business assists in producing a well presented, accurate set of minutes

7. Travel arrangements – including booking trains, flights, hotel rooms along with foreign travel

8. Report compilation – know and understand the business and its practices in how it likes to present information

9. Replying to general correspondence – a relatively simple process but key in Director’s delegation of workload

10. Ability to prioritise work and manage time effectively – multi-tasking and prioritising workload ensures the most effective and efficient way in time management

Being a secretary/PA can be an extremely demanding, varied role with juggling workloads and meeting tight dead-lines but with the above skill set in place they can play a much more integral role within a company.
